Job Description: Preschool and Nursery Office Administrator

Position Title: Campus Administrator
Department: Administration
Reporting Location: No. 117 Baillou Hill Rd & Flemming Street
Reports To: Preschool Director
Employment Type: Full-Time / Part-Time
Salary Range: $2,500.00

Role Summary

The Preschool and Nursery Office Administrator is responsible for providing administrative support to the preschool and nursery staff, managing office operations, and serving as the first point of contact for parents and visitors. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a passion for working in an environment dedicated to early childhood education.

The Campus Administrator also assumes the role of a teacher. This is a dual role. This role assumes the key responsibilities below as well as those of a Classroom Teacher

Key Responsibilities

  • Front Desk Management: Greet parents, visitors, and children with a friendly demeanor, ensuring a welcoming and professional atmosphere.

  • Communication: Answer phone calls, respond to emails, and manage communication with parents and other stakeholders.

  • Enrollment and Registration: Coordinate the enrollment process, manage enrollment forms, and maintain accurate records of student information.

  • Scheduling and Calendars: Assist in scheduling parent-teacher meetings, school events, and other administrative tasks. Maintain the preschool and nursery calendars.

  • Record Keeping: Maintain accurate and organized records, including attendance, health and safety documentation, and other relevant paperwork.

  • Financial Management: Process tuition payments, issue invoices, and manage petty cash in accordance with the school's financial policies.

  • Supplies and Inventory: Manage inventory of office supplies, classroom materials, and other resources. Place orders when necessary.

  • Compliance and Regulations: Ensure compliance with state and local regulations, including health and safety requirements.

  • Event Coordination: Assist in organizing school events, parent meetings, and other activities.

  • Administrative Support: Provide general administrative support to the preschool director, nursery manager, and teaching staff as needed.

  • Assistant to the Director: Assist the director with campus management, coordinating administrative tasks, and overseeing general campus operations.

Qualifications and Skills

  • Education: High school diploma or equivalent required; associate's or bachelor's degree in business administration, education, or related field preferred.

  • Experience: Previous experience in an administrative role, preferably in an educational setting or preschool.

  • Communication: Excellent verbal and written communication skills. Comfortable interacting with parents, staff, and children.

  • Organizational Skills: Strong organizational and multitasking skills with the ability to prioritize tasks effectively.

  • Technological Proficiency: Proficiency in Microsoft Office (Word, Excel, PowerPoint) and basic office equipment (phones, printers, scanners).

  • Interpersonal Skills: Ability to work collaboratively with a diverse team and demonstrate empathy towards children and their families.

  • Attention to Detail: High attention to detail and accuracy in record keeping and administrative tasks.

  • Problem-Solving: Strong problem-solving skills and the ability to think on your feet in a dynamic environment.

 

Additional Requirements

  • Ability to pass a background / security check

  • Ability to obtain relevant certifications as required by local regulatory bodies.

  • Flexibility to work extended hours during peak times or special events.

  • Familiarity with early childhood education practices is a plus.
